How to Correctly Integrate Your Company’s VOIP Phone System

In the past ten years VOIP phone systems have become part of our life when making local and long distance calls. Businesses have started to integrate VOIP services inside their offices and for their mobile users in the field. The calling plans and cost-of-calling have attracted large and small business to integrate their office from IP PBX systems to VOIP. The different VOIP providers vary greatly in their capabilities, features, phone sets, form factor, cabling, and service connectivity. Considering in the past decade the VOIP technology has evolved while the IP PBX systems haven’t changed. There still are problems concerning how to operate and what companies need to install in order for their PBX to perform reliably.

When changing from the IP PBX to VOIP follow these steps to correctly roll out your company’s VOIP phone system.

  1. Before switching to VOIP decide if your voice and data network should be integrated into one network or if your company will benefit by keeping them separate.
  2. If your IT department finds it beneficial to join your voice and data into one network, you need to perform a detailed network analysis. Determine if you have adequate bandwidth that can provide your company a guaranteed quality of service (QoS). Also, does your firewall support VOIP or is it VOIP friendly. 
  3. Understand your cabling requirements and is your office cabled with CAT 5e or CAT6 cabling. Also, your IT departments need to test your existing cabling for noise or pinched cables. Finally, measure your existing cable making sure it doesn’t exceed 100 meters in length.
  4. In your network design never daisy-chain your switches. When your switches are piggybacked your network receives major slowdowns from traffic, and after your QoS can give you unpredictable results.
  5. Before integrating your VOIP network remove all your network hubs.
  6. Install single Layer 3 Power over Ethernet (PoE) switches in your network.
  7. Upgrade your anti-virus software to enterprise-level anti-virus software for all your servers and clients PCs.
  8. On all your servers, run a business-class, server-based spam filtering appliance or a hosted spam filtering appliance.
  9. Perform a network analysis on your network bandwidth. Determine if any of your users are abusing your network by running applications for downloading audio, streaming videos, or music.
  10. From your service provider, request dedicated bandwidth for your SIP trunks.
  11. Run QoS routers end-to-end. Before signing a contract with your VOIP provider ensure that they use QoS routers on their end.
